5.5 Notification Management

 
The messages received from Customs Authorities are available in the notifications list, which is accessible via the following link:
 
Menu > Notifications > Notifications List.

Notifications can be of two kinds:
  • Simple notifications informing the Trader about information on an Application or Authorisation. Example: status changes, error…
  • Requests asked by the DTCA for which the Trader must provide an answer. Example: request for additional information on an Application.
In particular, the list of notifications contains:
  • An indication if the notification is a simple information or a request to be answered (see "Request" column);
  • The status of the notification:
    • In case of a simple notification:
      • Unread: specifies that the notification has not been read by any user (i.e., Economic Operator or any representative / mandate);
      • Read: specifies that the notification has been read by at least one user;
    • In case of a request:
      • New: specifies that the request is new and has not been answered yet;
      • Cancelled: specifies that no answer has been provided but that the request has been cancelled due to another event (like a revocation or the process withdrawal);
      • Expired: specifies that no answer has been provided in due time and that the request is expired;
      • Answered: specifies that the answer has been submitted (by a user with the "Submission" role). Note that even if the answer is saved as a draft, the status is not changed until the effective submission;
      • Error: specifies that the provided answer has not been accepted by the CDMS IT application. The request must be answered again.

5.5.1 How to read notifications

 
A user with “Consultation” role can access the details of a simple notification in 2 ways: from the menu (i.e., Notification List) providing access by default to the new and unread notifications, or from the dashboard providing access to the unread notification(s).
 
From the menu:
  1. Select the list of notifications: Menu > Notifications > Notifications List;
  2. Select the desired notification.
Dashboard:
  1. Dashboard > Unread Notifications;
  2. Select the desired notification.
Disclaimer: Note that the unread notifications list in the dashboard provides only the five first elements of all the unread notifications. To access the complete list, you can select the "Unread Notifications" link on the dashboard.
Unread Notifications
In addition, the user has the ability to consult the information about the associated Application / Authorisation by selecting the action:
  • View Application / View Authorisation.

5.5.2 How to answer to a request

 
A user with the “Administrative” or “Submission” role can access to the information related the request and access to the anwer form to be filled in.
 
There are two ways to access a request: from the menu (i.e. Unanswered Requests) providing access by default to the unanswered requests and unread notifications, or from the dashboard providing access to the unanswered request.
 
From the menu:
  1. Select the list of unanswered requests: Menu > Notifications > Unanswered Requests;
  2. Select the desired notification.
From the Dashboard:
  1. Dashboard > Requests from DTCA;
  2. Select the desired notification.
Disclaimer: Note that the requests from DTCA list in the dashboard provides only the five first elements of all the unanswered requests. To access the complete list, you can select the "Requests from DTCA" link on the dashboard.
The "Request Answer" pages allow answering to the requests related to Applications and Authorisations. The structure is common to all pages. The displayed data consists in the following data groups:
  • Relevant Information: contains a subset of the Application / Authorisation data, useful for the Trader to answer the request;
  • Answer form: contains the information to be encoded by the user to complete the answer to the request.

5.5.3 Notifications by email

 
Each Economic Operator or Customs Representative has the possibility to activate the alert by email functionality. When the alert is activated, the user receives an email as soon as a notification is received in the Trader Portal. The content of the email is generic; it only informs the user that a notification has been received and he / she should then connect on his / her Trader Portal account.
 
To activate the alert, the user must go on the "Trader Preferences Page": it can be accessed via the menu (Menu > Preferences > Trader Preferences). The user can then register an email address, provide the language in which he / she wants to receive the email and tick the check box to activate the alert (select "Yes").
 
The user can verify that he / she has correctly entered the email address by clicking on the “Send Test Email to Address” button. A test email will directly be sent to the provided address. Note that the system does not check that the email has been well received. It is up to the user to check whether a mail has been received from TP.
